# Documents, forms and the client portal

Documents are part of the Business plan. On Starter they are hidden.

## What it does

Build forms and agreements once from a template library. Airhug then sends the right paperwork before each appointment, reminds people who have not finished, collects signatures, and files the signed copy on the person's record. Forms open from a text or email link and work on any phone.

## Template library

Templates are managed by admins as a reusable library.

1. Choose **Add template**. A drawer opens.
2. Pick a template from the library. Choose **Edit** or **Preview**.
3. Choose **Create**. The template appears in the table.

Templates are versioned. Switch between versions from the version switcher. You can create templates in bulk.

## Send, track and remind

From a person's **Documents** tab you can request a document, see its status, and remind them. Airhug delivers paperwork ahead of appointments and follows up on anything late. The **Queue** lists what is waiting on a person or on review.

## Approvals

Choose who may approve submitted documents. You can block people from approving their own. See [team and roles](https://docs.airhug.ai/setup/team-and-roles.md).

## Client portal

Clients get a secure account where they fill out forms, see what is due, and download what you share.

- They set up the account from an invite link and prove who they are before they see anything private.
- A family member or other helper can be allowed access when you permit it. You can revoke it any time.

## Document checks

Airhug can check documents such as licenses for expiry and identity. Automatic checks are limited. Ambiguous dates and unconfirmed identities always go to a person. This feature is being rolled out.

- A test person receives a form by text or email, completes it on a phone, and the signed copy appears on their record.
